Manager notes
A manager’s leak note should be boring and complete.
The best reports are dull: times, names, rooms, and whether water was still moving. The worst reports are adjectives. Boards and investigators can work from the first kind.
Capture the event in six fields.
Date and time noticed, suite numbers affected, whether water is active, who was called, what was shut off, and who has keys.
That list is enough to start a visit.
Do not diagnose in the subject line.
‘Possible shower leak’ is a hypothesis. Put it in a comment, not in the only sentence the board reads.
Attach photos with a room name.
‘IMG_4521’ is not a record. ‘302 bath ceiling, looking south’ is.
Questions people ask
Should the manager wait for the board to vote before calling?
Not for active water. Notify, then get the event controlled. The board can review the finding after.
